Acceptable Use Policy
Effective date: 31 October 2026
Presently records meetings, takes attendance and creates AI notes. These are powerful tools that involve other people's voices, names and data. This policy sets out what you may and may not do with the Service. It adds detail to section 5 of our Terms of Service and is part of them.
1. Recording and attendance: be open and lawful
You must:
- tell everyone in the meeting or class that it is being recorded and that attendance is tracked, before or at the start, and get any consent the law, your school or your organisation requires;
- for students, follow your school's policies and the Student Privacy & Data Processing Agreement; for business meetings, follow the Meeting Recording & Data Processing Agreement;
- stop recording if a participant objects and you do not have another lawful basis to continue;
- keep recordings, attendance sheets and notes secure and share them only with people who should see them.
You must not:
- record anyone secretly, or hide or disguise the fact that a meeting is being recorded;
- record meetings you are not entitled to record, or where the organiser, the meeting's rules or the law prohibit recording;
- record or track minors in Business & others accounts without the consent of a parent or guardian and any other consent the law requires;
- record confidential sessions where recording is not appropriate, such as counselling, medical, legal or disciplinary conversations, unless everyone has agreed and the law allows it.
2. Harmful or illegal use
You must not use the Service, or anything it produces, to:
- harass, bully, threaten, stalk, discriminate against or intimidate anyone;
- monitor employees or students in a way the law does not allow, or make important decisions about people based only on attendance data or AI output without human review;
- process content that is illegal, including child sexual abuse material, or content that infringes other people's copyright, privacy or other rights;
- build profiles of students for advertising, or sell or share student data for commercial purposes;
- deceive people, for example by presenting AI notes as an exact record or as someone's own words when they are not;
- break any law or regulation that applies to you.
3. Protecting the Service
You must not:
- try to access accounts, data or systems that are not yours, or test the security of the Service without our permission (see our Security page to report a problem responsibly);
- overload, disrupt or interfere with the Service, or use bots, scripts or automation to use it in ways a normal user would not;
- copy, reverse engineer, decompile or modify the extension or the Service, except where the law allows it;
- get around plan limits, AI minute allowances, payment or other restrictions, for example by creating several accounts to reuse the free AI trial or welcome discounts;
- share, resell or sublicense your account without our written permission;
- use the Service or its output to build a competing product.
4. AI features and fair use
- Use AI notes only for real classes or meetings you are entitled to process.
- Do not send audio that is unrelated to teaching or your meetings, or use AI features in a clearly excessive or automated way.
- Review AI output before you rely on it or share it. See our AI disclosure.
5. Referral program
Share referral links honestly. Do not use spam, misleading claims, paid search ads on the Presently name, fake accounts or self-referrals. We may cancel rewards gained in breach of these rules.
6. What we do if this policy is broken
Depending on how serious the problem is, we may warn you, remove access to a feature, suspend or close the account, cancel referral rewards, or report illegal activity to the authorities. Where we reasonably can, we will contact you first and give you a chance to fix the problem. If we close an account for a serious breach, we may refuse a refund, except where the law gives you a right to one.
7. Reporting misuse
If you believe someone is using Presently to record you unlawfully or in breach of this policy, email support@ai-365.uk. Recordings are stored in the user's own Google Drive, so we may not be able to delete them ourselves, but we will look into every report and act on it where we can.
