Sub-processors and data locations
Last updated: 31 October 2026
Presently (operated by Contive Technologies Ltd.) uses a small number of other companies ("sub-processors") to run the Service. This page lists them, what they do, what data they receive and where they process it. It supports our Privacy Policy, our Student Privacy & Data Processing Agreement and our Meeting Recording & Data Processing Agreement, which together act as our data processing agreement with schools and business customers.
1. Where your main data lives
- Recordings and attendance sheets are saved directly to your own Google Drive. They are not stored on our servers.
- Account data, class and team lists, attendance summaries, transcripts and AI notes, and billing records are stored in our database on a server in Germany (European Union).
- Class or meeting audio is sent to us only when you ask for AI notes. It is kept on our server only while it is being processed and is then deleted.
2. Sub-processors
| Provider | What it does for us | Data it receives | Location |
|---|---|---|---|
| Your Google account (sign-in, Drive, Meet, Calendar, Classroom) | Sign-in; saving recordings and attendance sheets to your Drive; reading Meet participants, Calendar guests, your organisation’s directory and (Teaching accounts) Classroom rosters | Your Google account identity and the data you choose to work with in Google services. Files stay in your Google Drive under your control. | Global |
| AI processing providers | Speech-to-text and AI notes, only when you use AI features | Class or meeting audio, the resulting transcript and the participant names you include, only for the time needed to process them. We use zero data retention where available and only providers that do not train on your data. | United States and other countries |
| Payment processor | Card payments, subscriptions and refunds | Name, email, billing details, amount and payment status. Card numbers are entered on the payment processor’s secure pages; we never see them. No student or meeting data. | Egypt and other countries where it operates |
| Cloud hosting provider | Server hosting (our application server and database) | All data stored by the Service (see section 1), encrypted in transit | Germany (EU) |
| Business email provider | Sending service emails (receipts, renewal reminders, account and refund messages) from support@ai-365.uk, and receiving your emails to us | Your name, email address and the content of the email | Global |
We share the names of our current providers with customers on request, for example for a data protection review: support@ai-365.uk.
3. Services that receive no personal data
| Service | Purpose | Notes |
|---|---|---|
| Exchange-rate service | Daily USD exchange rates to show prices in local currency | Our server asks for public exchange rates. No personal data is sent. |
| Web font service | Website font | Your browser downloads the font from the font service, which receives your IP address and browser details. No account or student data is sent. |
4. International transfers
Some sub-processors are outside your country, including in the United States and Egypt. Where the law requires, transfers are covered by appropriate safeguards, such as the European Commission's Standard Contractual Clauses, the UK International Data Transfer Addendum, an adequacy decision, or the transfer rules of other applicable laws, including the Egyptian Personal Data Protection Law (Law No. 151 of 2020).
5. Changes to this list
We will update this page before we add or replace a sub-processor that handles personal data. For sub-processors that will handle student data, we give schools at least 30 days' notice, as set out in the Student Privacy & Data Processing Agreement. If you object on reasonable data protection grounds, tell us at support@ai-365.uk; you may stop using the affected feature or end your agreement.
