Privacy Policy
Effective date: 30 October 2026
This Privacy Policy explains how Presently (operated by Contive Technologies Ltd.) ("Presently", "we", "us") collects, uses, shares and protects personal data when you use the Presently Chrome extension and the Presently web service at presently.ai-365.uk (together, the "Service").
Presently is a tool for teachers. It helps you record your Google Meet classes to your own Google Drive, take attendance, and, if you choose, create AI class notes. Presently is also available to companies, teams, freelancers and other professionals for their Google Meet meetings. When you sign up, you choose a "Teaching" account (education) or a "Business & others" account. If you have questions, email us at support@ai-365.uk.
1. Who this policy applies to
This policy applies to:
- Teachers and school staff who install the extension and sign in to the Service (our "users").
- Schools and organisations that let their teachers use the Service.
- Business & others users: companies, teams, freelancers and other professionals who use the Service to record and track attendance at their Google Meet meetings (also our "users").
- Students and other meeting participants whose names, emails, attendance and voices may be processed when a teacher uses the Service in a class, or when a Business & others user uses it in a meeting.
Students do not create accounts and do not use the Service directly. For student data, the school (or the teacher acting for the school) decides why and how the data is used. We process student data only on the school's behalf and on its instructions, as described in our Student Privacy & Data Processing Agreement. In data protection terms, the school is usually the "controller" and we are the "processor". For teacher account and billing data, we are the controller.
For participants in meetings recorded with a Business & others account, the user (or the organisation they act for) is the controller and we are the processor, as described in our Meeting Recording & Data Processing Agreement. For the account and billing data of Business & others users, we are the controller.
2. What the Service does
- Recording. The extension records the Google Meet tab you choose (video, all meeting audio and your microphone) and uploads the recording directly to your own Google Drive. We do not store your video recordings on our servers.
- Attendance. The extension reads participant names and join and leave times from the Google Meet REST API or from the Meet page. To match names to email addresses, it can use your Google Workspace directory, the guest list of the meeting's Google Calendar invite, Google Classroom rosters you import (Teaching accounts only), and class lists you type in or import from Excel or CSV. The attendance sheet is saved to your Google Drive, and an attendance summary is saved in your Presently account.
- AI class notes (optional). After a class you can choose to send the class audio to us to create a transcript and notes such as a summary, homework, activities and a quiz. For Business & others accounts, the notes are a meeting summary, decisions, action items, minutes, a follow-up email, key points, open questions and risks, and a next agenda. This is off unless you choose to use it, and it can be disabled for your account or your whole school or organisation.
3. What we collect, why, and how long we keep it
| Data | Why we use it | How long we keep it |
|---|---|---|
| Teacher account: Google email address and name | To sign you in, run your account and contact you about the Service | Until you delete your account |
| Subscription and payment records: plan, dates, amounts, payment status, transaction references | To provide paid plans, handle billing and meet tax and accounting rules | As long as the law requires for financial records, even after account deletion |
| Saved classes: student names and email addresses | To match meeting participants to your class list for attendance | Until you delete the class or your account |
| Saved teams (Business & others accounts): member names and email addresses | To match meeting participants to your team list for attendance | Until you delete the team or your account |
| Attendance summaries: names, emails, join and leave times and attendance status for each meeting | To show you attendance history and reports | Until you delete them or your account |
| Class audio (only if you request AI notes) | To create a transcript and AI class notes | Deleted immediately after processing |
| Transcripts and AI-generated notes | To show you your class notes | Until you delete them, or the end of the retention period (90 days by default, which the operator can change), whichever comes first |
| AI usage records: minutes or hours processed | To apply plan limits and fair use | For the life of your account |
| Technical and security logs: IP address, browser type, timestamps, error reports | To keep the Service secure, prevent abuse and fix problems | Short periods, normally no more than 90 days |
| Messages you send us | To answer your questions and give support | As long as needed to deal with your request |
We do not store your Meet video recordings or your attendance sheet files. These go straight to your Google Drive and stay under your control.
We do not see or store full card numbers. Payments are processed by our secure payment provider, which handles card details under its own security standards.
4. Google user data and Google API scopes
When you sign in with Google, you are asked to grant Presently access to certain Google data. We ask only for what the features need:
| Google permission (scope) | What we use it for |
|---|---|
| openid, userinfo.email | To sign you in and identify your account by your Google email address |
| drive.file | To save recordings and attendance sheets to your Google Drive. This scope only gives access to files Presently creates or that you open with it, not your whole Drive. |
| meetings.space.readonly | To read participant names and join and leave times for your Google Meet meetings |
| directory.readonly | To look up participants' email addresses in your own Google Workspace directory |
| calendar.events.readonly | To read the guest list of the Calendar invite for the meeting, to match participants to emails |
| classroom.courses.readonly, classroom.rosters.readonly, classroom.profile.emails | To let you import your Google Classroom class lists (student names and emails). Requested for Teaching accounts only, not for Business & others accounts. |
Limited Use disclosure
Presently's use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements. In particular:
- We use data from Google APIs only to provide and improve the user-facing features of Presently that you can see in the extension and web service.
- We do not sell this data.
- We do not use or transfer this data for advertising, including personalised or retargeted ads.
- We do not use this data to train or improve general artificial intelligence or machine learning models.
- We do not use this data to work out creditworthiness or for lending.
- Humans at Presently do not read this data unless you give us permission (for example, to help with a support request), it is needed for security purposes (such as investigating abuse), it is needed to comply with the law, or the data has been aggregated and anonymised for internal operations.
You can remove Presently's access at any time in your Google Account under Security, "Third-party apps with account access".
5. AI class notes
AI class notes are optional. If you use them:
- The class audio is sent from your browser to our server, which sends it to trusted AI providers: first a speech-to-text model to create a transcript, then a language model to create notes such as a summary, homework, activities and a quiz.
- The audio is deleted from our server immediately after processing.
- We configure providers for zero data retention where it is available, and we only use providers that do not train their models on your data.
- We never use class audio, transcripts or notes to train AI models, ours or anyone else's.
- AI output can contain mistakes. You must review notes before sharing them with students or parents.
- You, or your school, can turn AI features off. When they are off, no audio is sent to us.
6. Our legal basis (UK, EU and similar laws)
- Contract: to provide the Service you signed up for, including your account and billing.
- Legal obligation: to keep financial records and respond to lawful requests.
- Legitimate interests: to keep the Service secure, prevent abuse and fix problems, in a way that does not override your rights.
- Consent: where we ask for it, such as for optional emails. You can withdraw consent at any time.
For student data, the school or teacher is responsible for having a lawful basis (for example, public task, legitimate interests or consent, as local law requires). We process it only on their instructions.
For meeting participant data in Business & others accounts, the user or their organisation is responsible for having a lawful basis, informing participants and obtaining any consent the law requires. We process it only on their instructions.
7. Children and student data
Many students are children. We take this seriously:
- Students do not sign up for or log in to Presently.
- We collect only what is needed for recording, attendance and optional AI notes.
- We never show advertising, never sell student data, never build marketing profiles of students and never use student data to train AI.
- In the United States, for students under 13 we rely on the school to give consent on behalf of parents, as allowed under COPPA when the Service is used only for the school's educational purposes. Under FERPA we act as a "school official" with a legitimate educational interest and under the school's direct control for education records.
- We aim to follow the principles of the UK Age Appropriate Design Code, including data minimisation, high privacy by default and no nudging or profiling of children.
Business & others accounts are intended for meetings with adults. Users must not record or track minors in those meetings without the consent of a parent or guardian and any other consent the law requires.
Parents and students who want to see, correct or delete student data should contact the school first. We will help the school respond. If a parent contacts us directly, we will pass the request to the school, or help directly where the law requires.
8. Who we share data with
We share personal data only with service providers (sub-processors) who help us run the Service, under contracts that require them to protect it:
| Provider | Purpose | Location |
|---|---|---|
| Google (Google APIs) | Sign-in, Meet, Calendar, Classroom, Directory and Drive features | Global |
| Trusted AI providers | Speech-to-text and AI class notes (only if you use AI features) | United States and other countries, depending on provider |
| Our secure payment provider | Payment processing | Egypt and other countries where it operates |
| Our cloud hosting provider | Server hosting and database | Germany |
We share the names of our current providers on request at support@ai-365.uk.
We may also share data if the law requires it, to protect people's safety or our rights, or as part of a sale or merger of our business (in which case this policy, or equal protections, will continue to apply). We do not sell personal data to anyone.
9. International transfers
Your data may be processed in countries other than your own, including Germany, the United States and Egypt. Where the law requires, we use safeguards such as the European Commission's Standard Contractual Clauses, the UK International Data Transfer Addendum, or other approved mechanisms, and we follow the transfer rules of laws such as the Bahrain PDPL (Law No. 30 of 2018), the Egyptian Personal Data Protection Law (Law No. 151 of 2020), the Saudi PDPL and the UAE PDPL.
10. How we protect data
- All connections use encryption in transit (TLS).
- Data is encrypted at rest where our providers support it.
- Access to systems and data is limited to staff who need it (least privilege), with strong authentication.
- Google access tokens are stored securely and used only for the features you use.
- We keep logs of access to production systems and review our security regularly.
No system is perfectly secure. If a data breach affects personal data, we will inform affected schools and users without undue delay, and for student data within 72 hours of becoming aware of it, and we will notify regulators where the law requires.
11. Retention and deletion
- You can delete classes, attendance summaries, transcripts and AI notes at any time in the web service.
- Transcripts and AI notes are deleted automatically at the end of the retention period (90 days by default).
- If you delete your account, we delete your classes, attendance summaries, transcripts and AI notes within 30 days. Copies in backups are deleted within 90 days.
- We keep payment records for as long as tax and accounting law requires.
- Files saved to your Google Drive are yours. We cannot delete them for you; you manage them in Drive.
12. Your rights
Depending on where you live, you may have the right to:
- access the personal data we hold about you;
- correct inaccurate data;
- delete your data;
- restrict or object to some processing;
- receive your data in a portable format;
- withdraw consent where we rely on it;
- complain to a data protection authority (for example, the Personal Data Protection Authority in Bahrain, the Information Commissioner's Office in the UK, or your local EU supervisory authority).
To use these rights, email support@ai-365.uk. We will respond within the time the law requires, normally within one month. We may need to confirm your identity first. For student data, we will usually work through the school.
13. Cookies
The web service uses only the cookies and local storage needed to keep you signed in, remember your settings and keep the Service secure. We do not use advertising or cross-site tracking cookies.
14. Changes to this policy
We may update this policy. If the changes are significant, we will tell you by email or in the Service before they take effect. The effective date at the top shows when it was last changed.
