How Presently uses AI
Last updated: 31 October 2026
Presently uses artificial intelligence (AI) to turn class and meeting audio into transcripts and notes. This page explains what the AI does, what it does not do, how your data is handled and what its limits are.
1. What the AI does
- Speech-to-text. A speech recognition model turns the audio into a written transcript.
- Notes. A large language model reads the transcript and writes notes. For Teaching accounts these include a class summary, homework, activities and a quiz. For Business & others accounts they include a meeting summary, decisions, action items, minutes, a follow-up email, key points, open questions and risks, and a next agenda.
Content created by AI is shown as AI notes in the Service. If you share it, we recommend you say that it was created with AI.
2. What the AI does not do
- It does not take attendance. Attendance comes from Google Meet participant data and the class or team lists you provide, not from AI.
- It does not grade students, assess their behaviour or emotions, identify people by their face or voice, or make decisions about anyone.
- It does not run unless you ask for it. AI features are optional and can be turned off for an account or for a whole school or organisation.
3. Which AI models we use
We do not build our own AI models. We use trusted AI models from third-party AI providers. We may change models to improve quality, speed or cost; this page and our sub-processors list describe the providers involved.
4. Your data
- Audio is sent only when you request AI notes. It is deleted from our server as soon as processing ends.
- We configure providers for zero data retention where available and use only providers that do not train their models on your data.
- We never use your audio, transcripts or notes to train AI models, ours or anyone else's.
- Transcripts and notes are stored in your Presently account until you delete them, or until the retention period ends (90 days by default).
- Data received through Google APIs is used in line with the Google API Services User Data Policy, including its Limited Use requirements, and is not used to train general AI models. See our Privacy Policy.
5. Limits of AI
- AI can make mistakes. It may mishear words, names or numbers, mix up speakers, miss things that were said, or add things that were not said.
- Quality depends on audio quality, accents, background noise, overlapping speech and language.
- Quizzes, homework and action items are suggestions. A teacher or meeting owner must check them before use.
- Do not rely on AI notes alone for legal, medical, financial, safeguarding or disciplinary matters.
You are responsible for reviewing AI output before you use or share it. If you notice harmful or inappropriate output, please tell us at support@ai-365.uk.
6. AI minutes
AI processing is measured in minutes of audio. Each paid plan includes a monthly allowance of AI minutes; the Free plan includes a one-time trial. Your dashboard shows how many minutes you have left. Fair-use rules in our Terms of Service and Acceptable Use Policy apply.
